ASSISTANT TREASURER – PAYROLL

 

CLASSIFICATION:  SUPPORT STAFF

 

QUALIFICATIONS:

  1. Hold a Bachelor’s Degree in business or accounting.
  2. Ability to handle confidential matters; set priorities, work well under pressure with an attention to detail.
  3. Leadership Ability, Mathematics Skills, Reasoning Ability, Technology Skills, and strong Communication Skills.
  4. Works effectively with limited supervision. Performs routine tasks efficiently to meet deadlines.
  5. A record free of criminal violations that would prohibit public school employment.

REPORTS TO:  Treasurer

 

JOB GOAL:  To assist the treasurer in the daily operation of the treasurer’s office specifically processing Payroll and administering insurance plans

 

ESSENTIAL FUNCTIONS:  Note:  A reasonable accommodation may be made to enable a qualified individual with a disability to perform essential functions.

  1. Follows office protocols to ensure the accurate/timely recording and preservation of documents. Maintains a systematic filing system that supports the efficient retrieval of records. Performs back up procedures to safeguard electronic/digital information.
  2. Prepares wage change notices. Verifies that employees are placed on the correct salary schedule/experience level. Collects/maintains payroll deduction authorization forms.
  3. Verifies time sheets. Calculates gross wages. Processes the payroll. Reconciles payroll records. Distributes paychecks/deposit confirmations forms as directed.
  4. Maintains medical, disability, personal/family leave and vacation records.
  5. Verifies the timely completion of required payroll reports and tax payments.
  6. Maintains monthly, quarterly and annual payroll reports. Prepares employee W-2 forms.
  7. Verifies authorized employment inquiries (e.g., loan applications, etc.).
  8. Processes employment services, worker compensation and unemployment reports.
  9. Processes terminations,employments and retirements.
  10. Maintains employee health insurance and COBRA files. Processes enrollment forms.
  11. Balances ledgers. Reconciles statements. Analyzes account activities. Prepares recaps. Assembles data for analysis and/or forecasting. Facilitates collaborative work with auditors.
  12. Coordinates with the Treasurer to promptly respond to public requests for information.
  13. Prepare reports and/or gather data for the Board in connection with collective bargaining negotiations.
  14. Maintains thorough understanding of all job functions performed in Treasurer’s Office.
  15. Assists Treasurer in monthly closing and fiscal year end closing processes.
  16. Responsible for monthly reconciliation of all bank accounts.
  17. Supervises and manages records retention for Treasurer’s Office and all other district buildings.
  18. Other duties as assigned and requested by the Treasurer.

Exposure to the following situations may range from remote to frequent based on circumstances and factors that may not be predictable.

  1. Occasional exposure to blood, bodily fluids and tissue, blood-borne pathogens and communicable diseases.
  2. Occasional interaction with aggressive, disruptive, and/or unruly individuals.
  3. Duties may require operating and/or riding in a vehicle, including occasional operation of a vehicle under normal and/or inclement weather conditions.
  4. Potential for exposure to adverse weather conditions and temperature extremes.
  5. Duties may require lifting, carrying, and moving work-related supplies/equipment.
  6. Duties may require traveling to meetings and work assignments.
  7. Duties may require performing repetitive tasks quickly.
  8. Duties may require prolonged use of a computer keyboard and monitor.
  9. Duties may require bending, crouching, kneeling, reaching, and standing.
  10. Duties may require working under time constraints to meet deadlines.

TERMS OF EMPLOYMENT:  Twelve (12) month contract  “The employee shall remain free of any alcohol or non-prescribed controlled substance abuse in the workplace throughout his/her employment with the District.”

 

SALARY:    Salary paid in accordance with Support Staff Salary Schedule
